Buying another program or handing out accounts rarely changes how a company works. The rules that really run the place tend to live in the heads of a few experienced people, and the workload stays put until those rules are drawn out and turned into something AI can use. This is how a forward deployed engineer (FDE), an engineer who works alongside your team, goes about it.
Find
We look at how the work flows before we look at the org chart. Who knows what, who people call when something is urgent, whose spreadsheet quietly fills the gaps the system leaves. What we're first asked to build often isn't the real problem, so we keep asking at people's desks until it's clear what is.
Align
The person doing the work, the one signing off and the one answerable for the result each want something different. We get the judgment calls out of experienced heads and onto paper, then agree with everyone what to fix first and by which rules.
Solve
AI goes on top of the data and habits you already have and gets used in real work. When something snags in use, we fix it on the spot. Prices, dates and contracts stay with people.
Hand over
Once someone on your team can run it alone and stretch it to the next job, we step out.
Where work tends to get stuck
- Sales One quote meant old quotes, a price list and a call to purchasing. Now an inquiry should arrive with a sourced draft already waiting.
- Purchasing and inventory What we paid last year shouldn't depend on who's on holiday.
- Design and specs Each new revision of a drawing or spec meant someone tracing the changes by eye. Let the system flag what moved.
- Production and quality Work logs and inspection records that get filed and never opened again.
- Shipping and logistics The same details copied onto three or four forms for every shipment.
- After-sales and support Every hard question lands on the one veteran who knows. A draft answer comes first, built from manuals and past replies, with the source page attached.
- Accounting Bank records and tax invoices, matched by hand at every month-end.
- Management reporting Building one report means chasing figures round every department, and the number the CEO needs for the decision is still missing. We connect the records on the floor to the decisions at the top.
There's far more beyond this list. Anything that only keeps going thanks to a few people's memory and effort is fair game.
From the field In progress
Spec cross-checks used to be done by eye. A system does them now.
At a machinery and plant manufacturer, the starting point was spec cross-checking: people following spec items through about 22,000 rows of project records to see where each one changed. A system now does that checking, and the team's time is shifting toward review and decisions. Once we had talked with the CEO and the people in purchasing and design, it was clear this wasn't the only place things were stuck.
The system checks
It follows spec items and their revision history across the whole set of records. People confirm what it flags.
Into their hands
It already gives the same results on the company's own PCs, and we're moving it to a setup their staff run themselves. We don't count it as done until it runs without us.
From purchasing to management
On-site interviews produced 31 requirements. Purchase history search, recurring documents, item extraction from drawings and management reporting are being added one at a time.
